Rent vs. Own: How to Choose the Right Exhibit Strategy

When it comes to your trade show exhibit, there’s no universal answer to the rent-or-own question. 

For some brands, owning an exhibit makes perfect sense. For others, renting offers the flexibility they need. And increasingly, the best answer is somewhere in between. 

The right strategy comes down to how you exhibit, where you’re headed, and what you need your space to accomplish. 

When Owning Makes Sense

If trade shows are a major part of your marketing strategy and you exhibit frequently throughout the year, owning can be a smart long-term investment. 

It may be the right fit if you: 

  • Attend multiple shows with similar booth sizes 
  • Want a highly customized, brand-specific experience 
  • Need consistency from show to show 
  • Plan to use your exhibit for several years


Ownership gives you the freedom to create something uniquely yours and then continue adapting it as your brand and program evolves.  

When Renting Makes Sense 

Renting isn’t simply the “temporary” option anymore. 

Today’s rental exhibits can be highly customized, polished, and distinctly on-brand while giving your team more flexibility. They’re especially useful when you’re entering a new show, working with a different footprint, facing a shorter timeline, or simply aren’t ready to commit to a permanent exhibit. 

Renting may make sense if you: 

  • Attend only a few shows each year 
  • Frequently change booth sizes 
  • Want to test a new market or exhibit concept 
  • Need more flexibility from show to show 
  • Have overlapping or concurrent events 
  • Are working within a tighter timeline 


It’s also a great way to create a fresh experience without making a long-term commitment.
 

And Sometimes, It’s Both 

Here’s where the conversation gets more interesting: you don’t necessarily have to choose. 

Many successful exhibit programs use a hybrid approach: combining owned branded elements with rental structures, furniture, technology, or other components. 

That flexibility can help you scale a 20×20 into a 20×30, adapt for different audiences, or give an existing exhibit a completely new look without rebuilding everything. 

The goal isn’t to rent or own simply because that’s what you’ve always done. It’s to build an exhibit program that works harder for your brand, your budget, and your event calendar. 

Start With the Bigger Picture 

Before making the decision, look beyond your next show. 

How many events are on your calendar? Are your booth sizes consistent? How often does your messaging change? Where do you need flexibility? And what do you want your exhibit program to look like a year or two from now? 

Consider the full investment, too. Ownership can bring storage, maintenance, refurbishment, and update costs, while rental strategies come with their own considerations around inventory and availability.
